Making payments and creating invoices
At Elite Tutors, we’re committed to providing a seamless and efficient experience for both our tutors and clients. A crucial part of this is our invoicing process, which we’ve streamlined using TutorCruncher.
Whether you’re a client seeking clarity on your payments or a tutor looking to manage your earnings, this guide will provide you with all the information you need to understand our invoicing system.
Your invoices
At Elite Tutors, invoices are created directly by your tutor through our secure online platform, ensuring accuracy and transparency.
Both as a tutor and as a client, you can easily log in to your account by clicking the button conveniently located at the top of our website. Once logged in, you can access a user-friendly dashboard where you can view your invoices, track payments, and read detailed lesson reports for every session.
Our platform is designed with convenience in mind and is fully optimised for use on both desktop and mobile devices. This means you can manage your invoices, payments, and lesson documentation seamlessly, whether you’re at home, at work, or on the go.
Plus, you can rest assured knowing that all transactions and data are securely handled within the system.
Clients
As a valued client of Elite Tutors, you’re enrolled in our convenient auto-pay system. This means that once your tutor creates an invoice, a card payment will be triggered automatically, and the payment will leave your account within 48 hours.
If you have any concerns about the frequency of your payments or if you see an invoice that you’re unsure about, please don’t hesitate to contact your tutor directly for clarification. Your tutor will be able to provide you with detailed information and address any questions you may have.
Your tutor is best equipped to provide you with personalised support and address any concerns related to your invoices.
In the unlikely event of a payment failure, which will not be detected by our auto-pay system, please log in to your account or use the link provided in your email to make the payment manually so that your tutor can be paid in a timely way.
Tutors
As a tutor at Elite Tutors, you are solely responsible for creating invoices for your lessons. This process is automated and occurs when you complete a lesson report.
It’s important to monitor unpaid invoices that fall outside of our auto-pay system. If you notice an outstanding invoice, you can send a friendly reminder to the parent directly from within TutorCruncher.
If the reminder doesn’t prompt payment, you may need to cancel the existing invoice and recreate it to trigger another auto-payment attempt.
If a lesson report error occurs, you have a 48-hour window to select the payment order and choose ‘Cancel/Refund Payment.’ If this option is unavailable, the payment has already been processed, and you’ll need to contact the client directly to address the error and decide how to proceed.
Please note that clients generally expect weekly payments. If you’re unable to manage invoicing on a weekly basis, it’s important to communicate with your client and agree on a payment frequency that works for both of you.
